Holiday: 28 days per annum pro rata

A joint venture between 59 Studio and London Theatre Company, Lightroom was founded in 2023 by Nick Starr CBE and its current CEO, Richard Slaney. Lightroom’s innovative show space in London, King’s Cross was designed by 59 Studio in collaboration with Haworth Tompkins.

ABOUT THIS ROLE

You will provide high-quality administrative and accounting support to the Lightroom finance team. As an organisation with a £10m+ turnover, Lightroom operates at the intersection of a high-volume visitor attraction and a global production house. You will ensure our financial records—from local ticket sales to international licensing royalties—are accurate, organised, and up-to-date.

DUTIES AND RESPONSIBILITIES

Purchase Ledger & Production Costs

  • Invoice Processing and Payments: Accurate entry of supplier invoices related to site operations and immersive production builds, including making payments.
  • Project Coding: Ensuring costs are allocated to the correct exhibition or department to allow for accurate project tracking.
  • Supplier Management: Reconciling statements and managing the “New Supplier” onboarding process, including VAT and bank verification.

Revenue & Visitor Attraction Support

  • Daily Reconciliation: Reconciling box office and retail income from our ticketing platforms against bank receipts.
  • Sales Ledger: Raising invoices for private hires, corporate events, and school groups.
  • Merchant Services: Monitoring payment processor reports (e.g.Shopify, Adyen) to ensure all digital transactions are accounted for.

International Licensing & Partner Revenue

  • Royalty Recording: Collecting and recording periodic sales reports from international partners who license Lightroom content globally.
  • Multi-Currency Recording: Monitoring the receipt of funds in multiple currencies and ensuring foreign exchange transactions are clear and accurate in the system.
  • Tax Documentation: Assisting in the collection of residency certificates and documentation required for Withholding Tax (WHT) compliance.
  • Partner Liaison: Serving as a point of contact for international partner finance teams regarding reporting and payment status.

Banking & Month-End Support

  • Bank Reconciliation: Performing daily reconciliations across multiple currency accounts.
  • Expenses: Managing the staff expense process and company credit card reconciliations.
  • Audit Trail: Maintaining a meticulous digital filing system for all financial records.
  • Reporting: Assisting the Finance Manager with basic journals, accruals, and ad-hoc reporting during the month-end close.

PERSON SPECIFICATION

Essential

  • Numerical Excellence: High attention to detail with the ability to spot errors in data entry.
  • Software Literacy: Proficiency in Microsoft Excel (Sums, Lookups)
  • Communication: Professionalism when “chasing” internal staff for receipts or communicating with international partners across time zones.
  • Organisational Skills: The ability to juggle high-volume transactional work with the specific requirements of international licensing schedules.

Desirable

  • Currently pursuing or interested in an accounting qualification (AAT/ACCA/CIMA).
  • Experience with accounting software (e.g., Xero, Sage, or Access).
  • Experience in a hospitality, retail, or creative arts environment.
  • A proactive interest in immersive technology and the arts.
